Preparatory meeting and minutes

 Programme for Comenius Preparatory visit (28th Nov  – 2nd Dec 2012)

Wednesday 28th November
·         Comenius visitors arrive at various times throughout day. If you are arriving at Cardiff bus / train station, staff from YMD will meet you.
·         If you are arriving direct to Cardiff Airport, the hotel is 1 minute away – there is a complimentary shuttle bus from the airport
·         Staff from YMD will meet visitors at the hotel at approx 8.30pm for welcome drink. Visitors will be given an up-to-date programme, welcome pack and staff will remind visitors of pick up times and number of official gifts needed for each day.

Thursday 29th November
·         8.15a.m. Pick up from hotel taken to Ysgol Maes Dyfan for meeting.
·         8.30–12.30pm Visitors to collaboratively complete the 2 year application form.
·         12.45-1.30pm Lunch provided by school
·         1.30-4.00pm Visit to St Fagans Welsh National Heritage Museum
·         5.00–5.30pm Visit to Vale of Glamorgan Mayor (1 OFFICIAL GIFT WILL BE REQUIRED) .
·         Return to hotel
·         6.30pm Welsh cultural evening (school to pay)
·         Visitors returned to hotel by a member of staff at end of event.







Friday 30th November
·         9.00am Staff pick up visitors and take to school.
·         9.30am - Staff introduced to school pupils during assembly (2 OFFICIAL GIFTS REQUIRED by visitors– 1 FOR HEADTEACHER, 1 FOR PUPILS)
·         Dignitaries invited to assembly. (Governors asked)
·         10.00am – Guided tour of school with Headteacher and the school council.
·         10.30am-11.05am - Coffee and cakes with Governors.
·         11.05am- 12.15pm- Visit classes on rota basis
·         12.20pm -1.20pm- Lunch provided by school.
·         1.30pm-3.00pm – Visit classes on rota basis
·         4.00pm–5.00pm Visit to Welsh Assembly. (Jane Hutt – 1 gift required)
·         6.00 bowling at Cardiff Bay meal to follow (approx £20.00 visitors to pay)
·         Staff returned to hotel at end of evening








Saturday 1st December 
·         9.30am Staff picked up from hotel to go to Cardiff City Centre.
·          You are then free to choose one of the following options.
o   Cardiff Castle (£11.00)
o   The National Museum of Wales (FREE)
o   Shopping!
o   Cardiff sightseeing tour (£10.50)
·         Pick up at National Museum of Wales at 4.00pm for return to hotel
·         Free time at hotel
·         7.00pm – meal and drinks at Cath’s house (school to provide)
·         Staff to be taken back to hotel at end of evening. (not too late!!!)

Sunday 2nd December   
·         Visitors to return to Cardiff bus / train station or Cardiff Airport to catch flights/buses home. You can catch a connecting bus / train direct to Cardiff Airport where the hotel is situated.

The purpose of the meeting was to discuss the 2 yr Comenius project between the partner schools commencing September 2013. Throughout the meeting, we looked at the application form and discuss the project tasks.

Following todays meeting, any changes that need to be made to the application form should be sent to Chris and Sian by 15th Dec in the form of a Word document.
Chris and Sian will meet on 14th January to input any changes onto the form.
The form will be submitted to the UK National Agency and is returned to us with a number on.
We will then forward an attachment of the submitted form by email to all partners.
Each partner will need to go to their National Agency website to see how many copies of the submitted forms are needed.
21st Feb is deadline date. Copies should be sent well before then
Originals need to be sent with original signatures. All countries to do this in plenty of time.

There is a Turkish partner school also in the group but unfortunately could not get funding for the prep visit. We hope they will be able to take part in the main project.
We need a minimum of 3 countries to make the project work,
Visits will happen in UK term times in Nov, Mar and May/June.
Pupils will produce the work in the interim to exchange - and then visits will take place.
Some schools believed that the project was to include pupil mobility too. Chris explained that this was a staff mobility project that was made clear from the beginning.
If this is an issue, countries can discuss with their leadership team on return, and decide on whether they will stay in the project, as there is no pupil mobility.
We read through Section D of the form and discussed the products of the work and tasks to do. We explained the resources and the enterprise project for those who were unaware of the concept. This must have involvement with local community, we went through the explanation of the section and how the project will run.
The project needs to run through the curriculum, as broad as possible, fitting into all curricular areas and not a bolt on!
Section G2, read through the termly work and the tasks ahead.

Explained questionnaires, keeping parents and school informed. There were some issues raised with regards to questionnaires re: pupils level of ability. There needs to be evidence that can be measured at the end of the project. Questionnaires provided will be broad examples but these need to be adapted for individual schools and partners can use whichever method will work for them. There were questions around the way the questionnaire will run.
Geographic focus (production of leaflets) - Chris showed the group an example of the booklet, work can be produced in a variety of forms.
Each partner will take books for exchange to first meeting, every country to bring a large flag. Mascot to be taken on each visit - Chris showed the group an example of toy and book to record visits from partner countries. Simple books to be produced to work with pupils.
To plan the first visit we need funding to come through. We have pencilled in November 20th 2013 for first visit, 5 days to Norway.
Sian will always provide an agenda for meetings.
the first meeting will be used to set the dates for subsequent visits and rearrange any tasks due to any partners not receiving funding.
All schools to bring holiday dates to the first visit in order to set the visit dates.
Minutes of all meetings to be circulated within 2 weeks of return.
3 decorations for European tree to be posted to each country at the beg of December.
All partners to download Skype, one partner will arrange a rota taking into account any problems that may arise (eg. France do not work on a Wednesday). Dates for these video conferences to be decided during the first meeting, taking into account time differences. During the first visit, we will decide on a focus for each of the web conferencing sessions.
Schools will need to inform parents, via a short note etc. - however partners feel will be best for their school community. Nothing official needs to be done.
All schools need to have a Comenius display board
An A5 leaflet on 4 places of interest to be produced - enough to be produced for each partner and exchanged during the 2nd meeting
Can be same places or different.
Poland visit in March 2014

European Day, 9th May. A range of activities, can be the whole school involvement as there is no work exchanged. Each classroom can be a country, for example.
Interim report to be produced at France visit,
Spring time, we will be planting something. Explanation of own seeds, maths work to follow.
Certificates for pupils leaving schools at the end of academic year 2014, dignitary to be invited.
Extra visit to Turkey fitted in to Sept.
If not all partner countries get through, the visits will be rearranged accordingly. Wales will be a back up. Maybe will have to visit some countries twice.
There is no guarantee that funding will come through just because partners come to prep visit.
Recipes need to be hard copies and electronically, later in year 1
DVDs to be sent to each school re: Christmas and New Year celebrations as soon as possible in the spring term.
CDs - pupils need to be involved in the traditional music too
Recipe book exchange in Lithuania, electronic copy also to be given
Enterprise project -  we can discuss this further at the Lithuania meeting, and clarify any issues.
Final term, sending an emblem to make into jigsaw.
End of project questionnaire, discuss and evaluate.
Second European day to be celebrated, passport to be taken to each classroom.
In Denmark, we will discuss the end report, collaboratively working to get last 20% of funding.
Evaluating each task.
Reports in by Sept 28th 2015. But, the sooner you get the report in, the sooner you get the funding.
All partners will be sent a password for the EST website
All partners spend 100% but are given 80%, at the beginning and final funding given after report.


Re: distribution of tasks, Chris talked through the tasks and what each school is responsible for, Sian's responsibilities and how the tasks will be shared out.
•Web blog - Denmark, roughly Oct /Nov time 2013 (Chris will email a sample to Thomas / Jeanette)
•Recipe book - Norway
•Certificates - France (Chris to email example to Anne)
•Questionnaires - Germany, within the first two weeks of September 2013 as no work must be produced beforehand. (Chris can email a sample questionnaire to Heiko / Beate and they will produce)
•Skype Rota - Lithuania
•Collating jigsaw – Poland

Germany - can call their agency and find out probably before anyone else whether they have been successful in gaining funding for the project. They will find out and let us know?!
If UK don't get thru, Joanna (Poland) as 2nd partner on the list, will take over coordination of the project, and so on throughout the partners.
Sian will update the application form with information as we have it at the moment.
Sian will email all partners to remind them to email any changes.
Chris read through the objectives. Remember some of this will be pupil led!
Mobilities, staff have to be employed by the school to take part in the visits.
Section D5 - What is the European benefit to this project? We have to justify this via the form to get funding. We read this through - we need to show why we can't do this project with a school down the road.
Further meetings in countries during visits only need to be about 1 / 2 hours in length.
Each country should make sure they have a buddy for support or to take over in an emergency and to provide support.
We may need to alter integration activities: depending on what subjects are taught. Partner countries to email these changes by 15th Dec to both Sian and Chris.
All partners should think about community cohesion.
Partners will provide an A4 report following mobility, including minutes, agenda, photos etc . Useful to keep a little diary during each visit.
Need to clarify the numbers of pupils / staff taking part in the project when the partners email us - on 15th Dec
Chris clarified mobility areas and partners decided on number of mob visits roughly £1k per person, per visit to include travel expenses and subsistence. You can make more visits but not less. can use grant for expenses (cartridges, paper, it equipment, supply cover etc.)
We closed the meeting and made some amendments to the form.
